Description

The IEP/Records Custodian maintains special education files for each student in accordance with district guidelines; ensuring the physical storage and protection of records throughout their retention period.

 

Qualifications:

Education/Certification: High school diploma or equivalent.

 

Special Knowledge/Skills: Effective organizational skills; Ability to understand and follow  detailed written or verbal instructions; Computer skills; Detail oriented; High accuracy.

 

Experience: 1-3 years.

 

Major Responsibilities and Duties:

  • Ensures organization of physical and electronic records, maintaining of Special Education student folders, and other permanent records assigned; while protecting confidentiality of student records and information.  
  • Enters student data into appropriate databases. 
  • Processes and transmits requests for student information from parents, schools and/or outside entities following guidelines for handling confidential information.
  • Assists with student entry, withdrawals, and transfers and processes applicable records. 
  • Assists administration and other school-based personnel with the preparation of reports and student data information.
  • Assists department staff with clerical tasks (i.e. photocopy, print, fax, assembly work).
  • Performs routine checks and comparisons of reports or records for compliance with specific regulations, procedures, and program requirements.  
  • Prepares and completes the mailing process of student records or correspondence.  
  • Assists with scheduling students for screenings and/or assessment appointments. 
  • Answers telephones and responds to inquiries. 
  • Follow district safety protocols and emergency procedures.
  • Maintain confidentiality as appropriate in order to comply with district, state and federal laws.
  • Perform other duties as assigned to ensure the efficient and effective functioning of the department and district.

Tools/Equipment Used: Standard office equipment including personal computer and phone

Posture: Prolonged sitting, twisting, Occasional bending/stooping

Motion: Some walking, Frequent keyboarding and use of mouse, Occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: Primarily indoors

Mental Demands:  Learn new tasks, remember processes, maintain focus

 

Attendance: Must maintain regular and acceptable attendance/punctuality as required by the Board of Education policies and regulations.

 

Clearances: Background check and current TB test
