Description

Our High School Attendance Secretary provides assistance to the staff, students, parents, and community to ensure efficient and effective operations of the building.  This position is also responsible for accurately recording and reporting attendance.

 

This position is 40 hours per week when school is in sessional and a few additional days throughout the year.  

A Day in the Life

 

  • Serve as the receptionist greeting visitors, accepting deliveries, and answering phones.
  • Verify clearance to be in the building or initiate a background check on the visitor.
  • Operate and maintain office equipment and machines, including but not limited  to door buzzer, computers, copy machine, laminating, intercom,  paper shredder, district radio, and telephone.
  • Assists and relieves administrative supervisors of paperwork so that they may devote maximum attention to the central problems of educational administration.
  • Enters attendance for Nurse’s Office, field trips, substitute teachers, school activities and doctor’s visits so that effective communication occurs.
  • Follows up on attendance corrections and unverified absences to ensure accuracy.
  • Arranges delivery of correction notices to students so they are informed of their absences.
  • Arranges delivery to notify students of four absences so they are aware of their absences.
  • Speaks with parents regarding attendance in order to maintain accurate records.
  • Identifies, types, and mails letters notifying parents of absences five and six to keep parents informed.
  • Enters discipline when needed to help discipline secretary.
  • Prints out administrator’s reports for use by administrators.
  • Maintains copiers in working condition and arranges for service and upkeep to keep copiers functioning properly.
  • Assists with preparation of printed materials for parent/teacher conferences for effective running of conferences.
  • Maintains a regular filing system and processes incoming correspondence for student files to meet local, state, and federal guidelines.
  • Maintains confidentiality as appropriate in order to comply with district, state and federal laws.
  • Performs other duties as assigned for the purpose of ensuring the efficient and effective functioning of the High School.

Education/Certification: High school diploma or equivalent

 

Special Knowledge/Skills: Effective organizational skills, Strong communication both written and verbal, Ability to understand and follow detailed written or verbal instructions, Interpersonal skills, Computer skills, Detail oriented, Math skills, Proficient with spreadsheets, High accuracy

Tools/Equipment Used: Standard office equipment including personal computer and phone

Posture: Prolonged sitting, Frequent standing, Bending/stooping, pushing/pulling, Twisting, Occasional kneeling/squatting

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Attendance: Must maintain regular and acceptable attendance/punctuality as required by the Board of Education policies and regulations.
